Postalion – Newsletters and Email Subscribers

ຄຳອະທິບາຍ

Postalion is a complete newsletter plugin that runs on your own site. People sign up through a form, a block, a popup or a box in the forms you already use. You write in a composer made for email, pick one of eight templates, and Postalion sends in the background, a batch at a time, keeping a record of every email. Your list stays in your WordPress database.

All of it is free: no limit on subscribers or sends, no account to create, no logo in your emails, no requests to outside servers. Try it now with the Live Preview button above.

Why Postalion

  • No limits. Unlimited subscribers, lists and sends. Nothing to unlock.
  • Your list stays yours. Subscribers live in your own database. Nothing is sent to us or to anyone else.
  • Mail that arrives. SMTP built in with a test button, or the mail plugin you already use.
  • Readers stay in charge. Double opt-in, one-click unsubscribe, and a preferences page linked from every email.
  • Looked after. Tested before every release, improved every few weeks, support answered on the forum. See the changelog.

Write

  • A composer made for email, with blocks mail clients understand: headline, button, two columns, image and text, note, divider, spacer, social links
  • Eight templates: Classic, Letter, Bulletin, Announcement, Card, and for particular kinds of sites Programme (venues, festivals, courses), Shop (products and prices) and School (schools, parishes, associations)
  • Personal details in the text: {first_name}, the subscriber’s email, any custom field such as {city}, the site name and address
  • Preview on desktop and phone, and a test email to yourself
  • A web version of every newsletter (“View in browser”) and a public archive of the ones you sent
  • Your site logo on top, or the site name when there is no logo

Send

  • Background sending in batches: the first batch at once, the rest through WP-Cron
  • Batch size and pause are yours to set (default: 10 emails every 5 seconds)
  • Send now or schedule a date and time
  • Live progress, with stop and resume; an interrupted send continues where it stopped and nobody gets the same email twice
  • Resend to people who did not open: one click makes a draft for exactly them

Mail server (optional)

Out of the box the emails go through the mail function of WordPress, so whatever your host or your mail plugin set up keeps working. If nothing is set up, enter an SMTP server under Settings: your own, or a sending service such as Brevo, Amazon SES, Mailgun, Postmark or SendGrid. A button tries the settings before you save them, the password is stored encrypted, and a switch can route all the mail of the site through the same server. No second plugin needed.

Grow

  • Sign-up form as a block or a shortcode, with double opt-in
  • A sign-up popup: once per visit, stays away once closed
  • Page builders: the form as a native element in Elementor, Beaver Builder, Bricks and Divi
  • Sign-up checkboxes in the forms you already have: registration, comments, the WooCommerce checkout, Contact Form 7, WPForms, Fluent Forms and Elementor Pro forms (beta)
  • Lists, tags and custom fields: group people, label them, keep details about them; filter, send to a list or a tag, use the details in emails
  • WooCommerce: a box at the checkout, a Customer tag and last-order fields for buyers who subscribed, new-product emails
  • CSV import and export; one-click imports from MailPoet and from Newsletter, with lists, fields and statuses
  • The users of your site are subscribers too, and can opt out from their profile
  • Search, filters and bulk actions

Automatic emails (optional)

  • A welcome email once someone is confirmed
  • Each new post as a newsletter, to everyone, to lists or to a tag, limited to the categories you pick
  • A digest of new posts: daily, weekly or monthly, at the hour you choose, only when there is something new

Statistics (optional, off by default)

  • Opens and clicks per newsletter, with the links that were clicked
  • Counted on your own site; nothing is sent anywhere else

Keep track

  • Email log: every email with its recipient, date and result, and a preview of the email as that person received it
  • Activity log: sign-ups, confirmations, preference changes, unsubscribes, imports and sends
  • System log for errors and warnings, cleaned up automatically after a period you choose

Respect

  • An unsubscribe link in every email, plus one-click unsubscribe for mail clients that support it (List-Unsubscribe-Post)
  • A preferences page in every email: the reader edits their name and details, picks their lists, or leaves; no account, no password
  • No tracking pixels and no rewritten links unless you turn statistics on
  • Supports the WordPress tools for exporting and erasing personal data
  • No telemetry and no external requests

Languages

English and Romanian ship with the plugin. Spanish is being translated by volunteers on translate.wordpress.org, where you can help with your language too.

Shortcodes

  • [postalion_form] – sign-up form. Attributes: title, description, button_text, show_name="false", list="slug", tags="slug", fields="city, company", class. In the block editor, use the “Postalion sign-up form” block instead.
  • [postalion_unsubscribe] – unsubscribe form.
  • [postalion_subscriber_count] – number of people on your list.
  • [postalion_archive] – the newsletters you sent, each with its web version. Attributes: limit, lists="slug".

For developers

postalion_subscribe( $email, $args ) subscribes an address from your own code, the way the form does. Filters and actions: `postalion_templates`, `postalion_logo_url`, `postalion_newsletter_recipients`, `postalion_email_content`, `postalion_email_sent`, `postalion_subscriber_subscribed`, `postalion_subscriber_confirmed`, `postalion_subscriber_tagged`, `postalion_subscriber_untagged`, `postalion_order_recorded`, `postalion_notify_post`, `postalion_digest_include_post`, `postalion_digest_content`, `postalion_post_newsletter_content`, `postalion_show_popup`, `postalion_admin_menu`, `postalion_dashboard_cards`, and for new audience types `postalion_audience_types`, `postalion_audience_emails`, `postalion_describe_audience`, `postalion_compose_audience`, `postalion_settings_audience`. Postalion Pro

Postalion Pro is a separate add-on for shops and larger lists: email sequences (a series of emails started by a sign-up, a tag, an order, a cart left behind or a quiet customer), segments by behaviour (opened, clicked, bought, went quiet), WooCommerce automations (abandoned cart with a link that rebuilds the cart, after-the-order series, win-back) and priority support. The free plugin is complete on its own and keeps every feature; Pro adds, it never takes away. More at postalion.fantasythemes.net/pro.

  • Postalion sign-up form A newsletter sign-up form. Visitors who subscribe join the list you choose.

ການຕິດຕັ້ງ

  1. Install Postalion from the Plugins screen, or upload the postalion folder to /wp-content/plugins/.
  2. Activate it.
  3. The Postalion dashboard opens. Its first step sends you a test email; check the sender name and address under Postalion Settings.
  4. Add the Postalion sign-up block (or [postalion_form], or the element in your page builder) to a page so visitors can sign up, or import your list under Postalion Subscribers, from MailPoet or from Newsletter.
  5. Write your first newsletter under Postalion Newsletters.

For reliable delivery, enter an SMTP server or a sending service under Postalion Settings Sending method and press “Send test”. If you already use a mail plugin (WP Mail SMTP, FluentSMTP, Post SMTP), keep it: Postalion goes through it automatically.

Step by step, with pictures: Getting started.

ຄຳຖາມທີ່ພົບເລື້ອຍ

Is it really free, with no limits?

Yes. Every feature described above is in the free plugin, with no cap on subscribers, lists or sends, and no logo in your emails. The only limits are those of your host or mail service. Postalion Pro is a separate add-on with extra features; it does not unlock anything in the free plugin.

How are the emails sent?

Through the standard wp_mail() function, or through an SMTP server you enter under Settings Sending method. On most hosts the mail function works for a small list; for reliable delivery use a sending service such as Brevo, Amazon SES, Mailgun or Postmark, since the mail servers of shared hosting are often blocklisted. A mail plugin you already have keeps working: Postalion goes through it.

How many emails can I send?

As many as your host or mail service allows. Postalion does not count. Set the batch size and the pause between batches under Postalion Settings to stay inside their limits.

Do I need a cron job?

No. Sending runs on WP-Cron, which WordPress triggers when someone visits the site. On a site with very little traffic, a real cron job for wp-cron.php keeps batches and scheduled newsletters on time.

What happens when someone clicks the unsubscribe link?

They see a short page asking them to confirm, and one click on the button unsubscribes them. The link itself does not unsubscribe, so mail scanners that open links cannot remove people by accident. Mail clients with a built-in unsubscribe button unsubscribe at once. Next to it, “Your preferences” lets people change their lists and details instead of leaving.

Does it help with GDPR?

It gives you the tools: double opt-in (on by default), an unsubscribe link and a preferences page in every email, support for the WordPress personal data export and erase requests, and automatic deletion of old log entries. Statistics are off by default; when you turn them on, opens and clicks are counted on your own site and the privacy policy guide tells you what to mention. No data leaves your site except the emails you send. What you send, and to whom, remains your responsibility.

Can I import my existing subscribers?

Yes. From a CSV file under Postalion Subscribers Import CSV: the file needs an email column; names, lists, tags and custom fields are optional. Addresses already on the list are skipped, and people who unsubscribed stay unsubscribed.

Coming from MailPoet or from Newsletter (The Newsletter Plugin)? If it is installed on the same site, Postalion Settings offers a one-click import of its subscribers with their names, lists, custom fields, statuses and sign-up dates. Nothing in the other plugin is changed, so you can compare the two before removing it. Only import people who agreed to receive email from you.

Does it work with WooCommerce?

Yes. A sign-up box at the checkout (ticked or not, your choice), a Customer tag and “last order” fields for buyers who subscribed, so you can write to customers only, and new products sent out like posts. Abandoned-cart and after-the-order emails are part of Postalion Pro.

Does it work with my page builder?

The sign-up form is a native element in Elementor, Beaver Builder, Bricks and Divi, with the same options as the block. Everywhere else, the [postalion_form] shortcode works.

Can I change the look of the sign-up form?

The form takes the font of your theme. Three CSS custom properties change the rest: --postalion-accent, --postalion-accent-text and --postalion-radius, set on .postalion-subscription-form.

Can I add my own email template?

Yes, with the postalion_templates filter: register a name, a description and the path to an HTML file that contains {content}.

Is it translation ready?

Yes. Every text in the plugin, including the footer of the emails, can be translated. Romanian ships with the plugin; other languages come through translate.wordpress.org.

Can I have more than one list?

Yes. Create lists under Postalion Lists & tags. Each sign-up form, block or checkbox can fill a particular list, and when you write a newsletter you choose everyone, some lists, people with a tag, or only the users of the site. Unsubscribing always covers every list; readers can pick their lists on the preferences page.

Where is the data stored, and how do I remove it?

In thirteen tables in your WordPress database. Deleting the plugin keeps the data unless you turn on Delete all data when the plugin is deleted under Settings.

Where do I get help?

On the support forum, answered by the author, and in the documentation.

Postalion is an absolute gem. What I love most about it is that it keeps everything inside your own WordPress database—no external third-party servers, no forced tracking pixels, and no hidden limitations. The background batch-sending works smoothly, the UI is modern and fits right into WordPress, and the template blocks make drafting gorgeous newsletters a breeze. Highly recommended for anyone looking for a reliable, self-hosted newsletter solution!

ບັນທຶກການປ່ຽນແປງ

1.7.4

  • The Mobile preview (Logs, composer, templates) now shows an email the way a phone mail app does: a card laid out for a desktop width shrinks to the screen and long links wrap, so emails sent before 1.7.3 no longer look cut off there.

1.7.3

  • Fixed: the confirmation email (and the “already on the list” note) had a fixed width and was cut off on phones and in the Mobile preview in Logs. They now fit any screen.
  • Templates: a long link pasted into a newsletter wraps on phones instead of widening the email.

1.7.2

  • Fixed: the form’s hidden anti-spam field was only moved off screen, so browser autofill could fill it in and a real sign-up was quietly dropped while the form said “check your inbox”. The field is now not rendered at all (bots still see it in the page source).
  • A sign-up stopped by the anti-spam field is now written to Logs > System with its address (at most once an hour per visitor), so you can see it.
  • Fixed: behind Cloudflare, the sign-up limit (10 an hour per visitor) counted Cloudflare’s addresses, so many visitors could share one limit. Postalion now uses the visitor’s address that Cloudflare passes on, only when the request really comes from Cloudflare. A postalion_client_ip filter covers other proxies.

1.7.1

  • Fixed: a user of the site who signed up through a form (for example one with list=”…”) was told to check their inbox, but was not put on the list and received nothing. They now get a confirmation email and join the form’s list, tags and fields like any other visitor; the answer on the form is the same for everyone, so it does not reveal who has an account.
  • Someone already subscribed who signs up again receives a short “you are already on the list” email (at most once an hour) instead of nothing, and the Activity log shows it.
  • Unsubscribing a site user now also takes them off the lists they joined through a form; confirming a new sign-up turns newsletters back on for their account.
  • The form’s hidden anti-spam field has a name that browser autofill and password managers leave alone (an autofilled field made real sign-ups look like spam).

1.7.0

  • Three more templates: Programme (venues, festivals, courses), Shop (products and prices) and School (schools, parishes, associations). Eight in all, picked per newsletter.
  • The digest and the new-post notification accept an add-on’s audience type (Postalion Pro’s segments), through the postalion_settings_audience action and the *_audience_ids options; a postalion_dashboard_cards action on the dashboard. No change for sites without the add-on.

1.6.0

  • Preferences page: every email now carries a “Your preferences” link next to Unsubscribe, where a reader changes their name, their details and which lists they are on, instead of leaving altogether.
  • Resend to people who did not open: on a sent newsletter with statistics on, a new action makes a draft addressed only to the people who did not open it; change the subject line and send.
  • Hooks for add-ons: audience types (postalion_audience_types, postalion_audience_emails, postalion_describe_audience, postalion_compose_audience) and email links (postalion_email_action). They are what Postalion Pro uses; nothing changes for sites without it.

1.5.0

  • Romanian translation shipped with the plugin (language packs from translate.wordpress.org take over when they exist).
  • Import from Newsletter (The Newsletter Plugin): subscribers, statuses, lists and custom fields come over in batches, like the MailPoet import, under Settings.
  • Digests and new-post notifications can be limited to categories (a “Culture” digest from a magazine’s culture section, subcategories included) and sent to everyone with a tag, not only to lists.
  • The sign-up form as a native element in Elementor, Beaver Builder, Bricks and Divi: drop it in, set the texts, the list, the tags and the custom fields, like the block. Other builders use their shortcode element with [postalion_form].

1.4.0

  • Tags: labels on subscribers (“customer”, “webinar 2026”, “VIP”). Put them on by hand or in bulk on the Subscribers screen, from a form ([postalion_form tags=”webinar”] or the block’s Tags setting), from a “tags” column in a CSV import, or from code. Filter subscribers by tag, and send a newsletter to everyone who carries a tag.
  • Custom fields: company, city, birthday, plan, anything you need to keep about a subscriber. Text, number, date or a choice from a list. Ask for them in a form (fields=”company, city”), import them from CSV columns, see them in the export, and use them in emails as {company}.
  • New email variables: {first_name}, {last_name} and one per custom field; an unknown value is left empty instead of showing the variable.
  • WooCommerce: with “Keep track of customers” on (Settings Shop), a paid order tags the buyer “Customer” and keeps two fields, “Last order” and “Orders”, if they are a subscriber. Write to customers only, or mention {last_order} in an email. Nobody is subscribed by a purchase.
  • The personal data export and erasure cover tags and custom fields. Lists, tags and fields are managed on one screen, Postalion Lists & tags.

1.3.0

  • Sign-up checkboxes for WPForms and Fluent Forms, and for Elementor Pro forms (beta): a ticked box subscribes the address from the form, with double opt-in if it is on.
  • Web version of every newsletter: a “View in browser” link in the footer opens it on your site, addressed to “there” and counting nothing. It can be turned off in Settings.
  • Public archive: the [postalion_archive] shortcode lists the newsletters sent to everyone (or to the lists you name), newest first.
  • Digest of new posts: every day, week or month, at the hour you choose, the posts published since the last digest go out as one newsletter, to everyone or to chosen lists. Nothing is sent when there is nothing new. A button sends you a test digest first.

1.2.2

  • Fix: some unsubscribe links answered “This link does not work” (site users with a one-digit ID, subscribers with ID 1–9 or 1000–9999, and some addresses). The links now work, including the ones in emails that already went out.
  • Someone who unsubscribes while a newsletter is still going out no longer gets it from the batches that follow.

1.2.1

  • A note on the dashboard asks for a review on WordPress.org once the first newsletter has gone out. It appears only on Postalion’s screens, and one answer makes it go away.

1.2.0

  • Sending method: an SMTP server or a sending service can be set up in Settings, with a test button that tries the values before they are saved; the password is stored encrypted. Optionally the same server carries all the mail of the site.
  • Import from MailPoet: subscribers, lists, statuses and sign-up dates come over in batches, without changing anything in MailPoet.
  • After activation the dashboard opens and the first step sends the test email right there.
  • The dashboard shows the sending method and links to the changelog.

1.1.0

  • Lists: group subscribers, fill a list from a form, send to chosen lists or to site users only.
  • Statistics, off by default: opens and clicks per newsletter, with the links clicked, counted on your own site.
  • Welcome email and new post notification, both optional.
  • The sign-up form as a block, with a live preview in the editor.
  • An optional sign-up popup.
  • Sign-up checkboxes for the registration form, comments, the WooCommerce checkout and Contact Form 7.
  • postalion_subscribe() for developers; new filters for the popup and the post notification.

1.0.0

  • First release.
